I am proud to assist my client, a global fund administrator servicing real estate and private equity clients, in their search of new talents for the Luxembourg office.

Our client is strengthening its Depositary team in Luxembourg and is looking to hire a Senior Depositary Associate. This position offers broad exposure to real estate, private equity, and infrastructure fund structures, with responsibilities spanning client oversight, regulatory compliance, technical review, and team supervision.

The selected candidate will help develop and manage the team to ensure a high-quality, client-focused service. Additionally, the candidate should have a comprehensive understanding of the Luxembourg legal and regulatory frameworks relevant to private equity and real estate funds.


THE MANDATE:

Depositary Oversight
  • Oversee the delivery of depositary services for a portfolio of clients, ensuring all work is carried out in line with AIFMD rules and internal procedures.
  • Maintain close and regular contact with clients through meetings, calls, and written communication to ensure a high standard of service.
  • Take responsibility for key deliverables and deadlines across core processes such as cash monitoring, risk reviews, asset verification, onboarding, quarterly controls, and AIFMD-related reporting.
  • Review and approve major fund events including capital calls, acquisitions, disposals, distributions, and terminations, ensuring accuracy and completeness.
  • Oversee cash flow controls through reconciliations, analytical checks, and testing of bank accounts.
  • Review asset verification work to confirm that assets, and their economic rights, exist and are properly held by the relevant fund.
  • Ensure the asset inventory maintained by junior team members remains complete, accurate, and up to date.
  • Monitor the fund and fund manager on an ongoing basis to confirm that controls are adequate and that operations remain aligned with fund documentation.

Team supervision & Internal Coordination
  • Act as a first point of contact for junior team members on core deliverables, providing guidance and escalating issues to senior management when required.
  • Supervise and support Analysts and Associates, contributing to their development and helping maintain delivery quality across the team.
  • Chair weekly planning sessions for the sub-team, contribute to allocation discussions, and participate in management meetings to ensure issues are escalated and followed through appropriately.
  • Use management information and workload visibility tools to allocate tasks effectively and prioritise work within the team.
  • Prepare and deliver internal training sessions as part of the broader learning and development programme.




THE PROFILE:
 
  • Bachelor’s or Master’s degree in Business, Economics, or a related discipline.
  • 3 to 5 years of relevant experience in a similar environment.
  • First exposure to team supervision would be a strong advantage.
  • Good understanding of AIFMD and the Luxembourg regulatory framework.
  • Ability to assess complex transactions through the review of accounting records, financial statements, and legal documents.
  • Strong judgement when applying AIFMD requirements in practice, particularly in relation to the verification of a broad range of asset types.
  • Strong attention to detail, with an inquisitive and solution-oriented mindset.
  • Able to organise workload efficiently, manage changing priorities, and deliver accurate work under pressure.
  • Strong written and verbal communication skills.
  • Proactive, client-focused, and collaborative approach.
  • Fluent in English. French, German, or any additional European language would be considered an asset.
