CONDUCTING OFFICER, OPERATIONS - GLOBAL INVESTMENT FIRM - NT499

We are mandated by a leading global private markets investment manager who is establishing a new Luxembourg AIFM as part of its next phase of European growth. The firm manages capital for a blue-chip institutional client base worldwide and is expanding its European platform to support the rollout of evergreen and ELTIF solutions. The Luxembourg entity will launch with a meaningful seeded portfolio (circa EUR 1.5bn of closed-end AIF assets) and a clear multi-year plan to scale AUM, product capability, and headcount across EMEA.

This is a true build opportunity for a senior Conducting Officer who wants influence, pace, and ownership. You will help shape the governance, operating model, and control framework from day one - working closely with a high-calibre international leadership team and top-tier external counsel. 

The Role:
 
  • Provide strategic and hands-on leadership of the AIFM's operational framework, directing cross-functional teams and ensuring cohesive execution across the organization
  • Establish and maintain fit-for-purpose operating procedures with comprehensive documentation and consistent implementation standards
  • Oversee and challenge delegated functions and third-party service providers, including fund administrators, depositaries, auditors, and transfer agents; establish, monitor, and enforce clear SLAs and KPIs
  • Own the operational risk framework, encompassing risk identification, control testing, and incident registers; lead root-cause analysis and implement corrective actions for operational incidents
  • Ensure operational adherence to AIFMD, CSSF, and Luxembourg regulatory requirements, including record-keeping, books and records integrity, operational resilience, outsourcing governance, conflicts management, and regulatory reporting processes
  • Collaborate closely with Risk Management, Compliance, and RC/RR functions to align operational controls with regulatory obligations
  • Oversee third-party administrators managing investor onboarding, subscriptions/redemptions, investor communications, and complaints handling
  • Lead operational change initiatives, systems implementations, and process enhancements; champion technology adoption and risk mitigation initiatives
  • Maintain and test Business Continuity Plans and Disaster Recovery arrangements to ensure organizational resilience
  • Draft, maintain, and oversee operational policies and procedures across valuation, outsourcing oversight, reconciliations, incident management, cash controls, data management, and record-keeping
  • Prepare materials for Board meetings, Conducting Officer reviews, and governance committees; report on KPIs, incidents, remediation efforts, and control testing outcomes
  • Collaborate with Risk, Compliance, and Portfolio Management Conducting Officers to ensure regulatory adherence across all AIFM operations
  • Ensure accuracy of depositary, financial, and compliance records for Luxembourg-domiciled fund structures; streamline processes and enforce consistency across strategies, vendors, and vintages
  • Verify that fee arrangements, tax rates, and other calculations are applied accurately across all fund vehicles

The Profile:
 
  • 8-10 years of progressive experience in operational leadership within an AIFM, asset manager, audit firm, or fund administration environment, with demonstrated oversight of delegated functions and third-party service providers in Luxembourg
  • Comprehensive knowledge of alternative asset classes, including private equity, private credit, and infrastructure strategies
  • Deep expertise in AIFMD operational requirements, valuation governance frameworks, depositary relationships, outsourcing oversight protocols, and Annex IV reporting processes
  • Proven track record in operational risk management, including incident remediation, control design, implementation, and testing
  • Bachelor's or Master's degree in Finance, Economics, Accounting, or a related discipline
  • Professional certifications such as CFA, CAIA, or ACCA are advantageous
  • Fluency in English required; proficiency in French and/or German highly desirable
